Create a representative device list

Acceptance should reflect the room's real mix of computers, mobile devices and sources. Record their operating systems, interfaces and any required applications. Include at least one ordinary guest configuration if visitors use the room. Keep test devices separate from credentials or private documents that should not be exposed during commissioning. A successful connection from the installer's prepared laptop is useful but does not establish compatibility with every device the venue expects to support. Agree the required combinations before the test so the result has a clear scope.

Test video, audio and touch as separate paths

A cable can produce an image without carrying touch data, and audio may follow a different route from the picture. For each connection method, verify the expected resolution, scaling, sound and touch response where relevant. Check which ports and cables provide each function on the selected model. Label the accepted arrangement in the room guide. Avoid describing an input as fully working simply because a desktop appears. Use representative content and a short writing or interaction task to confirm the complete behaviour expected by the user.

Exercise wireless sharing under the actual policy

If wireless sharing is required, test it on the planned network rather than a temporary unrestricted hotspot. Check discovery, guest access, permissions and what happens when more than one device attempts to share. Confirm the approved method for ending a session. Ask the responsible software or network provider to resolve dependencies that sit outside the display hardware. Document any client application or licence requirement. Keep a tested alternative connection available if that forms part of the operating plan, and explain it in terms a meeting host can follow.

Include restarts and interrupted sessions

Restart the system and verify that it returns to the agreed starting state. Disconnect and reconnect a source, change inputs and recover from an abandoned session. Test the required annotation save or clear process with non-sensitive sample material. Check whether settings persist and whether the next user sees unwanted files or account information. These checks are especially useful in shared rooms where no technician is present between meetings. Follow the product instructions and avoid destructive tests or unapproved changes to the operating system during ordinary acceptance.

Retain a room-specific evidence record

Use a matrix showing device, cable or sharing method, expected functions, observed result and unresolved issue. Record software versions and the final settings. Ask a representative operator to repeat the normal connection and shutdown procedure without installer coaching. RSXD should confirm the selected panel's interfaces and configuration, while third-party conferencing or sharing services need their own support owners. Acceptance is complete when the agreed device combinations work and staff understand the documented limits, rather than when every advertised feature has been mentioned in a demonstration.

A practical record to keep

Retain the tested cables and label their intended use. Similar-looking cables may have different data or video capabilities, and an unrecorded replacement can change room behaviour. Include a cable and accessory list in the handover so routine troubleshooting starts from the approved connection path instead of an uncertain collection of adapters.

Common questions

Why can the picture work while touch does not?

The image and touch data may use different connections or settings. Check the selected model instructions, required data cable and the host device configuration.

Should wireless sharing be tested on a temporary network?

Use the planned operating network where possible. A temporary network can conceal restrictions or dependencies that will affect normal room use.
